Most meeting notes are either non-existent (relying on memory) or over-detailed (capturing everything but making it hard to find what matters). Neither serves decision-making well.

AI can produce accurate, structured notes automatically, freeing everyone to participate in the meeting rather than transcribe it.

Transcription Tools

Granola — AI notepad that listens to your meeting and enhances sparse notes with AI context. Best for in-person and Mac-based calls.

Otter.ai — Auto-joins Zoom/Meet/Teams, transcribes, and summarizes. Good for teams.

Fireflies.ai — Similar to Otter, with CRM integration for sales calls.

Structuring AI Meeting Notes

After transcription, pass to Claude for structuring:

  1. Meeting purpose (1 sentence)
  2. Key decisions made (numbered list)
  3. Action items (owner: task: due date)
  4. Open questions / parking lot
  5. Next meeting date/agenda
